What is a tax invoice under GST in India — the only invoice that counts for ITC

You can call any PDF an 'invoice', but only a proper GST tax invoice unlocks input tax credit for your B2B customers.

Tax invoices are the backbone of India's GST system — they feed into GSTR-1, 2B, and 3B, and they are what officers look at first in any scrutiny.

This guide focuses only on tax invoices: who must issue them, what they must contain, and how to keep them bulletproof without making them painful to create.

Who must issue a GST tax invoice and for what

  • Every GST-registered supplier of taxable goods or services must issue a tax invoice for each supply, except in specific cases like bill of supply for exempt goods or composition scheme.
  • For goods, the invoice is issued before or at the time of removal/delivery; for services, within prescribed time from the date of supply or payment.
  • B2B buyers depend on your tax invoice to claim ITC; if your invoice is wrong or missing, their monthly GST filings get stuck.
  • Even for B2C, proper tax invoices become critical for audits, returns, and when dealing with larger retail or platform partners.

The non-negotiable heart of a tax invoice (beyond pretty design)

  • Unique, consecutive invoice number and date within the financial year.
  • Supplier and recipient legal names, addresses, and GSTINs where applicable.
  • Place of supply and state code, HSN/SAC, taxable value, GST rate, and correct CGST/SGST/IGST split.
  • Signature (physical or digital) of authorised signatory and clarity on whether tax is payable under reverse charge.

Why your customers' CAs obsess over your tax invoices

  • CAs match your invoices with GSTR-1 uploads, GSTR-2B credits, and payment proofs — clean invoices reduce hours of back-and-forth.
  • If your GSTIN, HSN, or tax split is wrong, their ITC can be denied or delayed, which directly affects their cash flow.
  • Vendors whose invoices are always clean and on time quietly become 'preferred' because they do not create compliance headaches.
  • Designing your template once with your CA and then locking it in software is far better than freestyling in Excel every month.
