How to make an invoice for freelancers in India — GST, TDS, and getting paid on time

Step 1: Make your client's finance team your real audience

  • Use the client's legal entity name, billing address, and GSTIN (if they are registered) — not just the brand name you see on Instagram.
  • Mention the project name and month clearly: 'Logo design + brand kit for Project X — February 2026'.
  • If they gave you a PO, SOW, or email approval, reference it directly on the invoice.
  • Finance teams approve faster when they can see exactly what this invoice belongs to.

Step 2: Decide your GST position and show it cleanly

  • If you are not GST-registered, do not print fake GST columns; simply show your fee and note 'Not registered under GST'.
  • If registered, show GST rate and amount clearly and make sure your GSTIN and theirs are correct.
  • Keep SAC code and place of supply accurate; your client's CA will use it for ITC checks.

Step 3: Make TDS expectations explicit but not scary

  • Add a note: 'Client may deduct applicable TDS on professional fees; net payment expected after TDS'.

  • Ask new clients which TDS section they will use and record it in your own tracker.
  • This avoids awkward 'You paid me less' conversations after their finance team has already done the deduction.

  • Add clear due date and a gentle line like 'Work on new tasks will start after invoice is cleared' if that fits your model.
  • Put UPI ID, bank details, and even a QR in one predictable place on every invoice.
